Private app integration: Everything you need to know

Step-by-step guide to create private apps in Pepper Cloud CRM. Learn how to set scopes, manage tokens, and create API connections tailored to your workflow.

Private app integration: Everything you need to know

Not all integrations need to be public or complicated. If you are looking to connect your Pepper Cloud CRM with third-party tools in a way that is secure, controlled, and developer-friendly, the Private App Integration feature is built just for you.

Whether you want to sync leads from your internal systems or build workflows with external APIs, the private app integration gives you the flexibility to do it on your terms, without compromising on security.

What is private app integration?

Private app integration allows you to create a custom app within Pepper Cloud. This app serves as a secure bridge between your CRM data and external tools, utilising a token-based API connection.

The best part? You control exactly what data the app can access and what actions it can perform, such as read, create, update, or delete records in modules like Leads, Accounts, Contacts, and Opportunities.

Why choose private app integration over traditional API keys?

Private app integrations are designed to offer secure, flexible, and controlled access to your Pepper Cloud CRM, unlike basic API keys, which often lack fine-grained permissions and visibility. Below is a breakdown of the key reasons businesses choose private integrations over legacy methods.

Security and access control

Private app integration provides better control over who can access your data and what they can do with it.

  • Scoped access: Limit access to specific CRM modules and actions like read, create, update, or delete.
  • Safe token visibility: Tokens are securely stored and accessible via the Auth tab when needed.
  • Reduced risk exposure: Apps only access what they are explicitly allowed to, avoiding unnecessary data exposure.

Customisation and flexibility

These integrations are built to adapt to your internal workflows, allowing each app to serve a unique purpose.

  • Per-app permissions: Assign different access scopes to each private app.
  • No-code setup: Everything from creation to editing is handled through the UI—no scripting needed.
  • Editable scopes: Update permissions anytime without generating a new token or reconfiguring the integration.

Modern and maintainable API integration

Unlike traditional keys tied to older API versions, private integrations are built with Pepper Cloud’s current infrastructure.

  • Compatible with API: Supports stable, structured endpoints designed for long-term use.
  • Internal system syncing: Easily connect your CRM with in-house tools and automation workflows.

Team-friendly development

Ideal for businesses that need controlled environments for multiple tools, departments, or test phases.

  • Multiple apps allowed: Create different private apps for separate functions, teams, or services.
  • Testing flexibility: Apps can be updated, edited, or deleted without impacting live data or disrupting other apps.

Private app integration within Pepper Cloud CRM

Creating a private app integration in Pepper Cloud is simple, secure, and takes only a few minutes. The process allows you to define exactly what your external app can access, and nothing more. Here is a step-by-step guide:

  1. Log in to your Pepper Cloud CRM.
  2. Go to Settings > Integration > Private app > Click "Integrate"

Step 3: Add app details

Fill in the basic information to help identify and describe your integration:

  • Name: Choose a name that describes the purpose (e.g. “Marketing Sync Tool”)
  • Logo (optional): Upload a square logo (JPG or PNG) to visually identify the app
  • Description: Add a short note about what the app does or who it is for

Once done, click Next.

Step 4: Define scopes and permissions

This is where the power and security of private app integration comes into play. You get to decide which parts of your CRM the app can access and what it can do.

  • Modules available: Lead, Contact, Account, Opportunity, Activity, Message
  • Actions per module: Read, Create, Update, Delete

For example:

  • Allow the app to read and create Leads
  • Restrict access to Contacts and Opportunities

Tip: Always follow the principle of least privilege.

Step 5: View or regenerate the token

Once your app is saved, a unique access token is created and can be found under the auth tab of your private app.

  • Click the eye icon next to the token to reveal it.
  • Use the copy icon to copy the token safely.
  • The token can be used in API headers to authenticate secure requests to your CRM.
  • If the token is ever compromised or you need a new one, click the Generate new token button.

Managing private app integrations

Once your private app integration is live, Pepper Cloud makes it easy to manage access, update permissions, and maintain security, all from a central dashboard.

Edit scopes of private app

You can modify the app name, description, or its data access scopes at any time:

  • Go to the private apps listing screen by clicking navigating to "Private app" from "Integration".
  • Click the three-dot.
  • Select "Edit" and update the scopes as needed, such as adding access to a new module or removing delete permissions.

Generate auth token

To generate auth token, follow the steps.

  • Click on the private app.
  • Go to "Auth" tab.
  • Click "Generate new token".
  • A new token will be created while the old one expires.

Delete a private app

If a private app is no longer in use, you can safely revoke access by deleting it.

  • Open the Private apps list.
  • Click the three-dot menu next to the app.
  • Select "Delete"
